Terms and Conditions

These Terms and Conditions govern the booking and provision of entertainment services by Act Out Education (“I” "we," "us," "our") for private birthday parties and organisational events, including but not limited to schools, festivals, and community groups.

By booking our services, you ("the Client") agree to the following:

Services Offered

• We provide children's entertainment services for private parties and events.

• Services can be booked for durations between 1hour - Full Day

• Add-ons (such as additional face painting, workshops, craft materials, large prizes, or extended performance elements) are available at an additional cost, subject to prior arrangement.

Fees

• Our standard rate is between £120 - £600 (dependent on Client’s requirements)

• All agreed-upon add-ons will be quoted separately and added to the final invoice.

• A minimum booking of 1 hour is required.

Travel Costs

• Travel is included for events in Norwich and surrounding areas.

• For bookings further afield, a small travel fee will be added to your quote.

Booking and Payment

• A non-refundable deposit of 30% is required to secure your booking date and time.

• The remaining balance must be paid no later than 7 days before the event unless otherwise agreed in writing.

• Payment can be made via Bank Transfer.

Cancellations and Changes

• Cancellations made more than 14 days prior to the event will incur no further charges beyond the non-refundable deposit.

• Cancellations made within 14 days of the event will require full payment.

• Any changes to the booking (e.g., time, location, activities) must be requested at least 7 days before the event and are subject to availability.

Venue Requirements

• It is the Client’s responsibility to ensure that the venue is suitable, safe, and has adequate space for the activities booked.

• The Client must know the fire safety procedures of the venue in the unlikely event of a fire.

• We require access to the venue at least 30 minutes prior to the start time for setup.

• If access or venue conditions delay the start of entertainment, we may not be able to extend our services beyond the agreed end time.

Health, Safety, and Allergy Disclaimer

• We maintain high standards of health and safety and are covered by appropriate Public Liability Insurance.

• Children must be supervised at all times by the Client or responsible adults provided by the Client.

• We strive to use safe, non-toxic, child-friendly materials wherever possible.
  However, we cannot guarantee that all materials are free from allergens.

• It is the responsibility of parents, guardians, or the Client to inform us prior to the event of any known allergies, sensitivities, or medical conditions affecting any participants.

• Act Out Education cannot accept liability for any allergic reactions or medical incidents occurring during or after participation, except where caused by our proven negligence.

• We reserve the right to cease activities if we deem the environment unsafe or if supervision is inadequate.

Safeguarding and DBS

• We are fully committed to safeguarding and child protection.

• I hold a Fully Enhanced DBS Certificate registered with the DBS Update Service.

• Clients or organisations may request the Update Service reference number to check the certificate status online at any time.

Behaviour

• We reserve the right to terminate entertainment early without refund in cases of inappropriate or unsafe behaviour that endangers our staff, the children, or the integrity of the event.

Force Majeure

• We are not liable for failure to perform our services due to circumstances beyond our control, including but not limited to extreme weather, accidents, illness, or other unforeseen events.

• In these aforementioned instances, where possible I will liaise with the Client to determine a new date and time for the birthday party or event, subject to availability.

Photography and Promotion

• With the Client’s permission, we may take photographs during events for promotional purposes (e.g., website, social media, marketing literature).

• We request that the Client and any participants notify us via email if they do not wish for their child to be photographed or filmed.

Liability

• We are not responsible for any loss, damage, or injury sustained before, during, or after the event, except where caused by our proven negligence.
